Whether you're just starting out or already managing a busy Instagram, the Instagram Content Manager works like a full-time employee who never sleeps.

It runs quietly in the background, building 2 weeks of posts, captions, and stories automatically. Everything is editable and ready for your review - aligned with U.S. holidays, industry-specific dates, and other special occasions - so your posts always feel timely and relevant.

No need to brainstorm topics. The Content Manager takes care of it. And before your current batch ends, it reminds you to generate the next plan - keeping your Instagram active and consistent.

How It Works: Step by Step

Step 1 - Get Started

  1. Go to your Dashboard → Full-time Employees → Instagram Content Manager.

  2. Select "Hire" (you'll be asked to provide your business info, if you haven't shared it already).

  3. Hit Start.

Step 2 - Set Frequency

Choose how often you'd like posts and stories published

  • Default best practice: 3 posts per week + 3 stories per day, 3 days a week.

  • Everything is editable.

  • Select your plan's start date (this kicks off your 2-week content cycle).

Step 3 - Choose Illustration Style

Pick a look and feel for your content:

  • All Styles

  • Recently Used

  • Your Own Templates

  • Or search styles by keyword

Click Confirm.

Step 4 - Review Your Posts

The Content Manager creates a 2-week plan with posts, captions, and suggested times

  • It considers your business info, holidays, and industry events.

  • Example: a bookkeeping service would get content scheduled around Tax Day.

Customize freely:

  • Change date & time.

  • Edit images (upload your own, pick from free stock, or generate with our AI).

  • Edit text (manually or with AI help).

  • Default: 6 posts total (3 per week).


Click Next.

👉 You can always return to the previous stage if you'd like to adjust your choices.

Step 5 - Review Your Stories

  • The Manager will suggest 18 stories total (3 per day, 3 days a week).

  • Each story includes images + editable captions.

  • Adjust timing or swap visuals as you like.

👉 For stories, remember: captions are only placed on the image after you click "Edit" and add them.

Click Next.


Step 6 - Confirm Schedule

  • Look over your full 2-week plan of posts and stories.

  • Adjust, remove, or reschedule items.

Click Confirm.

Step 7 - Connect Instagram

  • Log in once with your Instagram Business Account to connect it to the Content Manager. This allows the Manager to publish approved content on your behalf - but only content you've approved.

    👉 Note: This is a one-time setup. Once connected, you won’t need to log in again for each new plan.


Trouble logging in to your Instagram account?

  • Verify you have a business account.

  • Make sure you have the correct User Name & Password to the business account.

  • Make sure you're not blocked by the browser.

Step 8 - Manage Your Content

You'll land on your Task Management dashboard page, where you can:

  • Track all planned content

  • Review and edit completed tasks

  • Get notifications when action is needed

Your Task Management Dashboard has two sections:

In Progress

Shows your current 2-week content plans. From here, you can edit any post or story that hasn't been published yet by clicking "Review →".

Completed

Stores all past tasks you've finished, so you always have a record.

There are two types of tasks:

  1. Generate Task: The Manager creates a full 2-week content plan for you.

  2. Schedule Task: You approve the content and confirm the posting dates and times.

If you've generated a plan but haven't scheduled it yet, just click "Review →". You'll be able to edit text, images, dates, and times - and by clicking ">", you'll see the full detailed 2-week schedule.

Pro Tip: Use the In Progress section to make last-minute edits before anything goes live — it's your safety net.

Step 9 - Notifications Center

👉 Remember to check your Notifications Center - these are your required actions

Step 10 - Create New Tasks

  • You can start a new 2-week plan anytime by clicking the New Task button. The start date will always take into account your latest scheduled content and begin right after the previous plan ends.

  • No need to remember anything - your Instagram Content Manager will notify you when it’s time to create a new plan. Notifications appear in your dashboard’s Notifications Center, and you’ll also receive an email reminder.

  • Need a one-time task? Use the AI Helpers Section anytime for a one-off post or story

FAQ

Q: Do I have to provide topics every time? Nope. The Content Manager builds content automatically around holidays, industry dates, and your business info - no topics required. Want to discuss a specific topic? Manually edit a specific post.

Q: Can I edit the posts and stories before they go live? Yes. Everything - captions, images, dates, times - is editable. You're always in control.

Q: What if I want fewer (or more) posts per week? Just adjust your frequency in Step 2. The defaults follow best practices, but you can set your own.

Q: Will the Instagram Content Manager post without my approval? Never. Content only goes live after you've confirmed the schedule.

Q: Can I still create one-time posts? Yes! Head to the Helpers Section to create single posts or stories anytime.

Q: How will I know when to plan the next cycle? You’ll see a notification in your dashboard with a clear call-to-action to start your next 2-week plan. Soon, you’ll also receive an email reminder - so you’ll never miss a cycle.

Q: Is image generation free? Yes. You can upload your own, use our free stock library, or generate with AI at no extra charge.

Q: What happens if I skip confirming a plan? Any unconfirmed plan will appear in your dashboard under Completed with the task name Generate 2-week Plan From there, you can click Review to edit the generated content and schedule it whenever you’re ready.

Q: Can multiple people on my team use the Content Manager? Yes - anyone with access to your Dashboard can view, edit, and confirm content.
